MainBoss Service Email Log

MainBoss Service handles incoming requests automatically. Usually, this means that there's no need for you to actually see the original email messages that lead to requests. However, if you do want to look at an email message sent to MainBoss Service, you can do so using Administration | MainBoss Service | Email Requests. This table viewer lists all email messages received by MainBoss Service.

The window contains the following:

View section: Lists the email messages that have been received.

Receive Date: Click this heading to sort the list by the date that messages were received. Click again to reverse the order (from ascending to descending or vice versa).

Sender Name: Click this heading to sort the list by the email address of the sender. Click again to reverse the order.

Processing State: Click this heading to sort the list by the state of the request. Click again to reverse the order.

Request: Click this heading to sort the list by the request identifier. Click again to reverse the order.

Apply Filter: Lets you set up a filter to select which records should be shown in the table. For more information, see Table Filters.

New Request: Opens a window to let you create a new request. This button makes it easy for you to create a new request in response to any email messages in the list. For more on creating requests, see Editing Requests.

Note that you can copy and paste information from an email request into a new request that you're creating. However, the new request will not have an explicit link to the original email; the request's Email Request section will be blank.

View: Opens an editor window where you can examine the selected record.

Delete: Deletes the message that's currently selected. Unlike many delete operations in MainBoss, this doesn't just hide the message; the message is actually deleted. As a result, if there is a request associated with the message, the link in the request's Email Request section will refer to a message that is no longer available.

Print: Opens a window to let you print your email requests. For more information, see Printing the MainBoss Service Email Log.

Reject Email Request: Immediately rejects the email request that is currently selected in the table. The usual delay on rejection doesn't apply; a rejection message is immediately sent to the person who sent the email. (For more about the usual delay on rejection, see Configuring MainBoss Service.)

This operation won't work if a request has already been created using the email message.

Process Email Request: Attempts to process all email messages that haven't been processed yet, including any messages marked for rejection. This is intended for situations where a particular message had a problem (e.g. it wasn't sent by an authorized requestor) and you have corrected the problem (e.g. you created a requestor record for the sender).

Process Email Request works just like a normal processing action, except that it doesn't attempt to create requestor records and/or contact records for any senders who aren't already in the Requestors table.

Create Requestor: Creates a requestor record for the person who sent the email that is currently selected. This happens even if options in your MainBoss Configuration wouldn't normally create a requestor record for this person.

After the record is created, MainBoss Service processes all messages that haven't been processed yet, including any that are marked for rejection.

Search: Lets you search through the list of records for a particular record. For more information, see Searching for a Particular Record. The Search button has an accompanying drop-down list containing the following:

Find Next: Uses the same search condition(s) as your most recent search and finds the next record in the table that matches the condition(s). If the search reaches the end of the table without finding a matching record, it goes to the start of the table and continues the search.

Find Previous: Same as Find Next except that it goes backward in the table. If the search reaches the start of the table without finding a matching record, it goes to the end of the table and continues the search.

Refresh: Updates the list to reflect any recent changes.
