1.  Working with Archived Records

 

Once you archive MainBoss records, you can restore the archive set at any time to view the data and run reports. Even though the archived records look just like the records in your main database, remember that archives should always be treated as read-only. You can run reports or re-print work orders and purchase orders, but you can’t edit any of the records. Even if you edit records while looking at a restored archive, once you clear the archive, your changes will be lost. To avoid situations where it would be necessary to edit archived records, please follow these guidelines:

 

  1. Archive for an entire period, e.g. archive all your 2006 data into one archive set. That way you can still run annual reports and all your 2006 data is located in one place.

 

  1. Wait to archive until you’re sure you’ve finished all work relating to those records. For example, don’t archive your 2006 data until you’re far enough into 2007 to be sure that your 2006 work orders and purchase orders are all complete and closed off, past the point where they’ll ever need to be edited.

 

  1. If you absolutely need to make a correction to archived information, create some kind of correction record that addresses the problem. For example, if an archived work order needs to be corrected, you might use an item adjustment with an appropriate adjustment code or you might create a new work order with a subject line like “Correction to Work Order X”.
