2. Did you know: Using Price Quotes to link Vendors and Inventory Items

The Price Quotes feature in the MainBoss inventory section is often overlooked because users assume that its purpose is only for collecting pricing information for a particular item. When a company needs to restock an inventory item, often the purchasing agent will contact several vendors to find the lowest price. These price quotes can be recorded in MainBoss so that when the time comes to create a purchase order, the information is readily available. Sometimes a company is less concerned about the prices quoted by different vendors and just wants to establish which vendors supply a particular item. In this case, the price quotes section will also come in handy since it is not mandatory to enter any prices. Here is how you create a price quote in MainBoss:

  1. Go to Inventory->Browse items
  2. Find the correct item and edit it
  3. Go to the Status tab and click on New Price Quote
  4. In the Create Inventory Price Quote section, choose the vendor (top of window)
  5. Enter the quantity and cost that was quoted by the vendor (bottom of window)
  6. Click Save and Cancel

Note: If you would like to simply establish a link between vendor and item, just enter a cost of 0 in step 5 above.

 

Once the price quote information is saved in MainBoss, there are some useful things you can do with it:

  1. You can run the Stock Activity Report to get a quick overview of which vendors supply which items. Go to Inventory->Reports->Stock Activity. Remove all checkmarks under the Activity Types section except for Price Quotes. Click Preview.
  2. When adding items to a new purchase order, you can narrow down your search to only those items on which the particular vendor has previously quoted on.
  3. When you would like to restock an item but don’t remember the vendor, you can go to the Add Items section of the purchase order, find the item under the Pick Item tab and the associated vendor will be displayed.
