2. Did you know: Keeping your MainBoss database files organized

As you know MainBoss keeps the actual MainBoss program files and the database files in two separate locations. The MainBoss program files are stored on each workstation under C:\Program Files, and contain the MainBoss executable file, MainBoss sample files and other documentary files. The MainBoss database files are kept either on a network drive or on one workstation’s hard drive. In either case, the database files exist in only one location and all MainBoss users link to that location when they open their copy of MainBoss. It is very important to follow these guidelines when administering your MainBoss files:

  1. Always keep the program files and database files separate. Storing the MainBoss executable in the database folder is not recommended.
  2. Do not save any other files into the database directory folder. The database folder is for use by the program only. MainBoss users have saved their backups, reports, or updates in the database folder, which is not a good idea. You should not manually add any new files to this folder, nor should you delete any files. It is best to create a separate MainBoss folder such as MainBossAdmin outside of the MainBoss directory and to save all reports, exports, and updates (etc) in that folder. Backups should be saved on a removable disk (floppy or CD-ROM) or on a different computer than where your database is stored. If that computer breaks down, a backup on the same drive will be useless.
  3. When installing an update or upgrade, always upgrade all workstations at the same time, especially when installing a new version of MainBoss. Also remember to first make a backup of your database files, in case something goes wrong during the installation.
  4. Do not keep multiple copies of your MainBoss database. If MainBoss is installed on a new workstation, the user may be accidentally linked to a copy of the database files and will be working in completely different dataset, which later cannot be merged with your actual database files. Copies of the MainBoss database should be kept in a compressed format such as WinZip or through the MainBoss backup function, so that they cannot be accidentally mistaken for the actual files. In case you are wondering what the location of your database is, just open MainBoss and look on the blue title bar at the top of the window.
