1. Did you know: Tracking Service Contracts in MainBoss

Imagine being able to go to one source for all your maintenance related information. Rather than looking for documents in filing cabinets or on various computers, MainBoss makes it easy to record and link all that data on your assets, including files, drawings and spec sheets. In addition, you can enter your service contracts into MainBoss in order to stay informed on which units are covered by which contracts, what these contracts cover and when they expire.  If you create a work order for a unit that is covered by a service contract, a line will automatically appear on the open work order window to let you know of this. You will then be able to assign the work order to the vendor without delay.

 

Here is how you enter your service contracts into MainBoss:

1.      Open your MainBoss CMMS program and go to Units-> Service Contracts

2.      Click on New

3.      Enter a Code and Description for the Service Contract. For example: ‘Landscaping’ for the Code and ‘Annual Landscaping Contract’ for the Description

4.      Choose the Vendor from the pull-down list

5.      Enter the Start and End dates; for example Jan 01, 2004 to Dec 31, 2004

6.      Enter the Cost of the contract; for example $1200

7.      Checkmark whether the contract covers both Parts and Labor

8.      Enter any comments; for example: Plan covers weekly mowing, fertilizing, weeding, pruning, replacement of  shrubs, trees and perennials

9.      Now click the Add Equipment or Add Space button to select all the units that are covered by this Service Contract. In this example you might have a Space called Outdoor Areas, which you would link to this Service Contract.

10.  Once all units are linked to your Service Contract, click Save and then Cancel and you are set to go!

11.  To illustrate, open a Work Order and from the pull down menu, select a unit that is linked to your Service Contract. As soon as the unit is selected, you will see a line appear in the lower half of this window informing you of the service contract, who the vendor is and the date up to which the contract is valid for.

 

In the future, we hope to expand the capabilities of the Service Contract function in MainBoss. And in the meantime, it is a very handy tool to help you stay organized!
