1. Did you know: Dealing with General Inventory

Effectively managing inventory in Mainboss involves recording when you add or remove an item from a particular storeroom. Once your storerooms are set up, each item is entered into the MainBoss database and you have recorded where that item is stored and what the current on-hand value is, you are now ready to go “live” with the inventory functionality of MainBoss. This means that the inventory information in MainBoss should always be up to date. For example, when you purchase more items, the increase in the on-hand value of that item needs to be recorded. Similarly, you need to record when you use an item for a work order, transfer items to another storeroom; or do a physical count of your inventory. For each transaction that you record, you must specify not only the item but also the affected storeroom. Failure to choose a storeroom will result in MainBoss using a default, virtual storeroom called General Inventory.

 

General Inventory can’t be found in one of your tables; it can’t be deleted or renamed. Its sole purpose for existence is for MainBoss to have a default location to assign when you forget to choose one of your actual storerooms. If some inventory transactions are linked to General Inventory rather than to one of your actual storerooms, the on-hand value for that storeroom will not be accurate, which in turn can lead to further wrongful transactions.

 

The good news is that you can easily fix any transactions that are linked to General Inventory. Running the Inventory Status report (Inventory->Reports->Inventory Status) will reveal exactly where MainBoss has had to use General Inventory. If you edit the corresponding inventory item (Inventory->Browse Items) and click on the Status tab, you can find the transactions that list General Inventory as the storeroom. Simply double-click on that specific transaction and choose the correct storeroom from the pull-down menu.

 

While editing inventory items to remove General Inventory is straightforward, it is still best if transactions are recorded properly in the first place. Always choose the correct storeroom and you will save a lot of potential confusion and time needed for editing.

Emailing support@mainboss.com rather then a specific person will allow the first available tech support representative to deal with your problem and it will also prevent your email from waiting in somebody’s mailbox if he or she is out of the office.

 

Note: If you do not receive a response to your email in a timely manner, please call us or email us immediately. We recently had a situation where MainBoss technical support staff replied to a customer’s email, but the customer never received it since his spam filter automatically routed it to a Junk Mail folder.
