2. How to delete a preventive maintenance task

 

When you delete a record in MainBoss, you could potentially lose:

 

a)     historical information from your work orders and purchase orders

b)     information from other tables that are linked to the record you are deleting.

 

When deleting a task, you have to be especially careful because so many other records may be linked to the task record. Sometimes deleting a task becomes necessary, such as when you no longer have the equipment that the task is for, or the preventive maintenance work is no longer necessary because other tasks have been implemented. While you have the option to mark the task as “Do not use”, you can also delete a task entirely from your database. When doing so, please follow these steps:

 

  1. Log into MainBoss as Administrator so you have the right to delete records
  2. Go to Work Orders -> Browse Tasks.
  3. Click the task you want to delete, then click Edit.
  4. Go to the Assigned Units tab.
  5. Click the first assigned unit, then click Edit Assigned Unit.
  6. In the Edit Assigned Unit window, click the Delete Schedule button. This deletes a schedule for this unit. Repeat for each schedule listed.
  7. Once all the schedules for this unit are deleted, click Save, then Close.
  8. Click Delete Assigned Unit to delete the entry whose schedules you just deleted.
  9. Repeat steps 5 to 8 above to delete all assigned units and their schedules.
  10. Click Save and Close to exit the window.
  11. You can now delete the actual task by clicking Delete Task at the bottom of the Edit Task window.

 

This complicated procedure is necessary because all the records involved are interlinked. If you just delete the task without first deleting the schedules and the assigned units, you’ll end up with disconnected records in your database. These records will show up on your audit report and can cause operating errors.
