1. The Power of Cloning

Cloning records in tables allows you to quickly create new table entries that have common properties. Rather than re-entering the same data each time, a default record containing all the appropriate settings can be cloned. For example new “Request-Only” Users can be quickly added to the MainBoss database by setting up a default with access just to the Work Request menus. Every time you add a new “Request-Only” User to the MainBoss database, simply clone this default and change the User name. All the appropriate permissions have already been selected, saving you time and effort! Here is how you create the “Request-Only” Default:

• Under the Administration menu, click on Security and then choose Users. Create a new User by clicking on the New button. Type in the User name as RequestOnly and make sure you click on the Disabled field (so that you can not actually use this User name—it is only there for cloning purposes).
• Next you go through each of the menus at the top of the window (i.e. Session, Work Orders, etc) and de-select all the menu items, which the User should NOT be able to access. Alternatively, you can first click on the button that says, “Clear all Access” and then go through the menus, selecting the items that the User DOES have permission to access.
• After all the appropriate menu items are selected (or de-selected), make sure you hit the Save button and then click on Cancel to bring you back to the Browse Users Window.
• Now every time you need to add a new User, just highlight the RequestOnly User (by clicking on it) and click on the Clone button. This will bring up the newly cloned RequestOnly User Window where you type in the appropriate User name and password and make sure that the Active button, and not the Disabled button, is selected. Then click on Save and Cancel and you are ready to go.

Many maintenance departments are on a tight budget and sometimes purchases over $1000 cannot be authorized. 3. Did you know: the many ways of entering dates into MainBoss

In prior versions of MainBoss, you had to be sure to enter the date exactly according to the format specified under the Preferences section in the Administration menu. But with the new MainBoss 2.8, you now have much more freedom when it comes to entering dates. For example, the next time you come across a date field (such as when creating a new work order), simply type in today and see it transformed to today’s date. Or type in yesterday, tomorrow, next week, Aug 16…they all work and are automatically converted to the correct format. Just one of the many ways we are trying to make your work with MainBoss even easier!
